Purpose 

I take privacy, confidentiality and data protection seriously. 

This procedure explains how concerns relating to personal information can be raised  and how they will be handled. 

How to Raise a Concern 

If you have concerns about: 

• How your personal information has been collected 

• How it is stored 

• How it has been used 

• How it has been shared 

• Your rights under data protection law

Information to Include 

To help investigate your concern, please provide: 

• Your name 

• Contact details 

• A description of your concern 

• Relevant dates where possible 

• Any supporting information 

What Happens Next 

Stage 1 – Acknowledgement 

Your complaint will normally be acknowledged within 7 working days. Stage 2 – Investigation

I will review the information provided and may contact you for further details if required. Stage 3 – Response 

A written response will normally be provided within 30 calendar days. 

Where additional time is required, you will be informed of the reason and expected  timescale. 

Possible Outcomes 

Following investigation I may: 

• Explain how your information has been handled 

• Correct inaccurate information 

• Amend procedures where appropriate 

• Provide additional information about your rights 

• Take other reasonable steps to address the concern 

Escalating a Complaint – If you remain dissatisfied after my response, you have the  right to complain to the Information Commissioner’s Office (ICO).
